With so many students and people arriving for each speakers set piece it can be difficult to organize everything into a coherent structure in terms of timelines for breaks. A lot of flexibility is required in order to keep things running smoothly that's for sure! Many people worked very hard on the pre-show preparation side of things and often they are the last to be remembered or thanked with most of the public glory going to the speakers rather than the staff working tirelessly in the background.
In terms of organizing the event special care must always be put into safety planning and also into security. There are numberous backup plans which accompany the preparation of any committee meeting especially when large numbers of the public will be present not to mention the press!
Fortunately many of the top people involved with programme were very experienced in knowing and understanding how to run and put on such an event. You really need someone to advise you, someone who has prior experience in putting on such a widely talked about and acclaimed event.
